Offline donations—such as cash, checks, or electronic fund transfers (EFT’s)—can be manually recorded by an admin. These transactions are tied to the appropriate campaign, event, or donation product within the LevCharity system.
Accessing the Offline Transaction Form #
To add an offline donation:
Fill in the required and optional fields as outlined below to fill out the transaction details.
Navigate to Activity > Transactions > Add New
A slide-out form will appear on the right-hand side of your screen
Required Fields #
Field | Instruction |

Product Type | Select the relevant product (e.g., Donation, Event, Campaign, etc.). |
Currency | Choose the appropriate currency (e.g., USD, CAD, etc.). |
Amount | Enter the donation amount. |
Payment Method | Specify the method used (e.g., Cash, EFT, Check). |
First Name | Enter the donor’s first name. |
Last Name | Enter the donor’s last name. |
Country | Select the donor’s country of residence. |
Provide the donor’s email address. |
These fields must be completed to save the transaction.
Optional Fields #

Prefix | Title or salutation (e.g., Mr, Mrs, Dr). |
Company Name | If applicable, enter the donor’s company name. |
VAT Number | Optional business tax ID. |
Address | Enter the full address. |
City | Enter city or town name. |
Zip / Postal Code | Enter postal code. |
Phone | Enter a phone number. |
Payment Status | Set the transaction status if needed (e.g., Completed, Pending). |
Custom Date | If this is a backdated transaction, set the appropriate date. |
Note | Add any internal notes or context. |
Salesforce Opportunity ID | Optional field for Salesforce integration. |
Salesforce Payment ID | Optional field for Salesforce integration. |
Saving the Transaction #
Once all required fields are filled out:
It will be automatically associated with the selected product type (Donation, Campaign, Event, etc.)
Click Save
The offline donation will appear in the Payments Activity Log
